Motel Policies

Booking accommodation:

The booking of accommodation is a contract between our two parties.

The Com Plex Motel agrees to provide the accommodation and services described and agreed. The guest undertakes to pay for the accommodation booked and services used unless it has been cancelled by them in accordance with The Com Plex Motel’s cancellation policies (see below).

Due to the size of the motel late cancellations or no shows significantly affect our business, so if your plans do change for some reasons, The Com Plex Motel asks that you let us know as soon as possible. Failure to advise may incur a charge.

Reservation confirmations:

To make a reservation you must be 18 years of age or over.

In making a reservation The Com Plex Motel requires the guests name, address, contact telephone (landline and mobile) numbers, and email address.

To confirm the reservation The Com Plex Motel requires a valid credit card number and expiry date. The Com Plex Motel reserves the right to charge a credit card at the time the booking is made or pre-authorise a credit card.

Reservations made where the customer does not have a credit card, will be required to pay the full value of the stay or one day stay? This deposit must be paid in cash or by electronic transfer of funds into our bank account: Please contact us for details.

These unconfirmed reservations will be held for an agreed period pending receipt of the payment, and will be confirmed once the payment has been received. Should payment not be received by the agreed time, the reservation will be cancelled.

Cancellation/Refund Policy:

All cancellations must be made by the person who made the original reservation and be in writing. Cancellations may be emailed to admin@thecomplex.nz  The Com Plex Motel will acknowledge receipt of the email and the cancellation request.

Cancellation of individual bookings must be notified no later than 72 hours (3 days) prior to mid-day on the expected date of arrival.

All cancellations less than 72 hours (3 days) prior to mid-day on the expected date of arrival will be charged for the accommodation booked, unless the Com plex Motel is able to replace the booking.

In the event of a late cancellation every effort will be made to resell the room and you will only be responsible for the cost if this is unsuccessful.

Cancellation of Group bookings must be notified no later than 30 days prior to the expected date of arrival.

All cancellations less than 30 days prior to the expected date of arrival will be charged for the accommodation booked unless we are able to replace the booking.

Bookings made and cancelled will incur a $25.00 administration fee.

No show – fail to arrive:

As the Com Plex Motel has a contract with you and holds your booking in good faith pending your arrival, if you fail to arrive for your booking, you will be charged the full cost of the accommodation booked.

Check in/Check Out:

The Com Plex Motel welcomes your arrival from 2.00pm or earlier by prior arrangement, and check-out is by 10.00am on departure date.

Upon arrival, each guest will be required to sign a Com Plex Motel Guest Registration form confirming the details are correct and accepting the terms and conditions therein of his/her stay.

Reception hours are:

  • Monday to Saturday 7:00am to 7:00pm.
  • Sunday 8.00am to 6.00pm.

If you are unable to check-in during Reception hours, please telephone Reception on (07) 9295865 or 027 288 3826 to arrange a late check-in or key collection. Guests who do not contact us may be charged a late check-in fee of $50.00

Once you have made a confirmed reservation with us, rooms are held for your exclusive occupation and are guaranteed. Due to the nature of our business, we apply the following policies, as cancellations, damage to rooms and slow or non-payment of accounts affect us significantly.

Changes/Amendments to reservations:

All amendments to bookings must be made by the person who made the original reservation and be in writing. Changes may be emailed to admin@thecomplex.nz The Com Plex Motel will acknowledge receipt of the email and the changes requested

Any extension to a booking is subject to availability of units. Earlier departure than the reserved date may not result in refund unless the management approve and are able to re-let the accommodation.

Room Rates:

All prices are quoted in New Zealand dollars on a per night basis and include Goods and Services Tax of 15%.

Room rates vary throughout the year from the low season prices in the middle of winter to the peak season prices in the middle of summer or for major event weekends. The Com Plex Motel’s secure internet reservation system displays our room rates and availability on any particular day.

The prices advertised on The Com Plex’s secure internet reservation system are per room, for the number of people and the date(s) selected, unless otherwise specified (packages). Please note that babies are ‘persons’ and will be charged accordingly, babies using a porta-cot are free of charge. We reserve the right to alter our rates at any time to meet financial circumstances beyond our control.

Payment:

The Com Plex Motel accepts Eft-Pos and Mastercard, Visa, and Farmlands Cards.

On checking in our Reception staff will ask for credit card details. The Com Plex Motel reserves the right to charge or pre-authorise a credit card at check-in.

If you intend to pay by cash, you will be asked for a bond to be paid on arrival, (refundable on departure).

All accommodation and any other charges not already paid for must be paid in full on the day of departure (if not already done so), unless prior arrangements have been made with The Com Plex Motel’s management. Overdue/recovery charges will apply if your account is not paid on time.

Accounts:

All accounts are payable on arrival unless prior arrangements have been made with The Com Plex Motel’s management. Pre-arranged accounts are payable by the 20th of the following month. If payment of an account is not received by the due date, we reserve the right to add the following charges: Interest of 2% per month on outstanding balances plus an administration fee of $50.00 and any debt collection and/or legal fees incurred to recover the debt.

Refunds:

In the event if a Covid-19 level change to Level 1 we will refund you the full cost of your stay.

Refunds will only be made to the credit card debited for the original transaction.

Groups/Team Bookings

A bond is required for all group/team bookings. The bond is one day’s accommodation, this is in addition to the deposit which is also one day’s accommodation. The bond is refundable if the units are in the same condition on your departure as they were when you arrived. Tariffs All rates include Goods and Services Tax (GST).

Peak Periods/ Major Events

In peak periods and for major events a minimum night stay and special cancellation conditions may apply.

Damages/Loss:

Any damage/loss caused to the motel or to the motel chattels that is occupied by you, could result in costs of repair (and any insurance excess) being charged directly, either fully or partly, to you the registered guest.

Smoking:

The Com Plex Motel is a smoke free complex. Smoking/Vaping is not permitted/allowed in any of The Com Plex Motel’s rooms. Smoking facilities are provided outside each guest room (Would save a lot of mess on the grounds) . Please smoke away from open windows, doors and other guests.

If you do smoke/vape inside our rooms, The Com Plex Motel reserves the right to charge such costs and any resulting loss of income to the registered guest. “Resulting loss of income” could be the following guests refusing to stay in that booked room.

Stolen Items:

We reserve the right to debit your account for any items missing from your unit following checkout. 

Visitors:

Your visitors are welcome; however, the registered guest is responsible for the behaviour of all persons/visitors whilst on the property. We ask that you please consider and respect other guests and your neighbours by keeping noise levels to a minimum, and we ask that they depart quietly by 10.00pm. The Com Plex Motel does not allow large, noisy gatherings or parties in its guest rooms. Excessive noise may result in you being requested to vacate the Com plex Motel. We reserve the right to charge for ‘extra persons’ if any of your visitors are on site after 10.00pm. 

Damages:

Damage to motel property should be reported immediately. Any extra cleaning, repairs or replacements required to restore our guest rooms or property to its normal condition will be charged to the registered guest at replacement cost, market rates, or insurance excess, plus a charge for any resultant loss of income if applicable.

Room Condition:

Your room will be considered in an unsatisfactory state in the event of,  excessive rubbish, misuse of motel property (including Manchester), any unsanitary soiling, excessive mess or odour, which causes extra cleaning time by The Com Plex Motel staff. The Com Plex Motel reserves the right to charge for the cost of extra cleaning, repairs or replacements required to restore our guest rooms or property to its normal condition.

Pets:

With the exception of guide dogs, we do not allow pets in our guest rooms.

Privacy Policy

The Com Plex Motel is concerned about protecting your privacy. We are committed to honouring the privacy of visitors to our website. This policy sets out how we handle email addresses, clickstream data and cookies. You have the right to access, edit and request deletion of any personal information concerning you, pursuant to the New Zealand Privacy Act 1993.

Email Policy:

We will only record your email address if you subscribe to any of our services. It will only be used for the purpose for which you have provided it. We will not use your email address or any of your personal details for any other purpose without your consent and we will not disclose your email address without your consent. Electronic mail submitted to The Com Plex Motel is handled and saved according to the provisions of the New Zealand Privacy Act 1993.

Clickstream Data:

Clickstreams are the paths a user takes when navigating a web page or the internet in general. When you visit our website, our Internet Service Provider makes a record of your visit and logs the following information for statistical purposes – the user’s assigned IP address, the user’s top level domain name (for example .co.nz, .gov, .com.au, .uk etc), the data and time and duration of visit to the site, and the type of browser and operating system used.

Cookies:

A cookie is a short piece of data that is sent from a web server to a web browser on the user’s machine when the browser visits the server’s site. The cookie is stored on the user’s machine, but it is not an executable program and cannot do anything to your machine. Whenever a web browser requests a file from the same web server that sent the cookie, the browser sends a copy of that cookie back to the server along with the request. In this way, the server knows you have visited before and can co-ordinate your access to different pages on its website. A server cannot find out a name or email address, or anything about a user’s computer, by using cookies.
